1. Purpose
Children Come First Connections LLC (“CCF Connections,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, share, retain, and protect personal information through the Children Come First Conference, related websites, registration systems, Cvent Attendee Hub app and website, email communications, and other event services. By participating or using these services, you acknowledge these practices.
2. Information Collected
We may collect information needed to operate the conference and app, including names, contact information, organization information, registration details, accessibility requests, dietary preferences, session selections, attendance and continuing education records, survey responses, sponsor/exhibitor/speaker information, profile information, messages or posts voluntarily shared, app activity, device or app identifiers, session check-ins, poll/Q&A responses, engagement data, email subscription status, and limited payment-related information.
The conference and app may be used by adult and child attendees. We may collect the same categories of information for all attendees when needed for registration, participation, accommodations, safety, continuing education, communications, or services.
3. Collection Methods
Information may be collected when you register, complete forms or surveys, use the app or event technology, request accommodations, attend CEH-eligible sessions, communicate with us, join or receive email communications, interact with sponsors/exhibitors or other participants, or use conference services.
4. Event Technology
CCF Connections uses third-party providers, including Cvent and Cvent Attendee Hub, for registration, event management, communications, mobile app and website services, session sign-ups, agendas, speaker information, attendee profiles, messaging/networking, notifications, surveys, Q&A/polls, check-ins, reporting, and engagement analytics. We also use email marketing providers, including Mailchimp and MailerLite, for mass email communications.
5. Use of Information
We use information to administer registrations, provide services, communicate with participants, add registrants to our email audience, send conference and related CCF Connections updates, coordinate accommodations, manage sessions and attendance, personalize agendas, support app features, issue CEH certificates, support sponsors, exhibitors, and speakers, process payments, respond to inquiries, meet legal or accreditation requirements, analyze engagement, manage check-ins, and improve future events.
6. Payment Information
Electronic payments are processed through Cvent Payments or other payment processors. CCF Connections does not store complete credit card numbers. Payment processors may retain and process payment information in accordance with their own policies, security practices, and legal requirements. CCF Connections may retain limited payment-related information for accounting, reconciliation, customer service, and legal purposes.
7. Sharing
CCF Connections does not sell personal information. We may share information only when reasonably necessary with service providers, app and event technology providers, email marketing providers, venues, accrediting organizations, payment processors, sponsors or partners, contractors, advisors, or government agencies when required by law. Third-party providers may process information under their own policies and security practices.
8. Continuing Education Records
Participants seeking Continuing Education Hours (CEHs) may need to complete attendance verification, evaluations, surveys, or other accreditation requirements. We may use related records to verify eligibility, issue certificates, maintain documentation, and respond to accreditation or participant questions. Failure to complete required steps may affect CEH eligibility.
9. Networking and Event Features
Event technology may include profiles, networking, messaging, directories, posts, Q&A, polls, appointments, sponsor/exhibitor interactions, and notifications. If enabled, participants are responsible for information they voluntarily share or make visible to others.
10. Photography, Recording, and Media
Photography, recordings, screenshots, or other media may be created during the conference. Event media is governed by the Children Come First Conference Terms and Conditions and applicable event notices.
11. Retention
We retain records as reasonably necessary for event operations, legal compliance, accounting, continuing education, customer service, app functionality, business needs, and historical records. Retention periods vary by information type and requirements.
12. Security
CCF Connections uses reasonable administrative, technical, and organizational safeguards to protect personal information. However, no system or method of data transmission can be guaranteed to be completely secure.
13. Participant Choices
Participants may request corrections, access, deletion where available, privacy information, or email preference updates by contacting CCF Connections. Email recipients may unsubscribe at any time or update preferences using links included in those emails. Some records may need to be retained for legal, accounting, operational, security, or CEH purposes.
14. Third-Party Websites
Conference websites, platforms, applications, SDKs, and communications may link to or rely on third-party services. CCF Connections is not responsible for those third parties’ privacy practices, content, security, or operations.
15. Changes to This Privacy Policy
CCF Connections may update this Privacy Policy from time to time. Updates take effect when posted unless otherwise stated. This policy supports transparency for app store users and should remain consistent with Google Play Data safety disclosures for the app.
